New features in Enterprise Vault 12.1
Enterprise Vault 12.1 includes the following new features. For information about the new features in Enterprise Vault 12, see the Enterprise Vault 12 ReadMeFirst.
Records management feature
The new records management feature lets you mark selected items as records, conduct searches for these records, and export them for transfer elsewhere. By doing this you can fulfil the requirements of Capstone, which is the approach to managing emails that the U.S. National Archives and Records Administration has advocated. However, the feature is sufficiently flexible to meet the needs of other records management systems.
This feature builds on existing Enterprise Vault functionality to provide a simple, lightweight solution for records management. By default, Enterprise Vault does not mark the items that it archives as records. Changing this behavior, however, is simply a matter of configuring the retention categories that Enterprise Vault assigns to the archived items. You can now configure each retention category so that, at the same time that Enterprise Vault assigns the retention category to an item, it also marks the item as a record of some type. (For Capstone, this is either 'permanent' or 'temporary'.) With a range of different retention categories to assign to items, you can mark each one as the appropriate type of record or non-record.
To assign the required retention category to an item and thereby mark it as a record, you use the existing methods that are available in Enterprise Vault. For example, you can do the following:
- Create one or more retention plans, each of which is associated with a different retention category. Then you can set up multiple provisioning groups to apply the required retention plans to selected user mailboxes.
- By using facilities such as Enterprise Vault Policy Manager (EVPM), assign different retention categories to different folders in user mailboxes. Then you can allow users to mark their items as records by dragging the items from one mailbox folder and dropping them in another.
- Use the Enterprise Vault classification feature to assign the appropriate retention category to items that match certain criteria.
Enhanced facilities in Enterprise Vault Search make it easy to search an archive for the items marked as records. New PowerShell cmdlets let you export the records, if you want to transfer them for long-term retention in the U.S. National Archives or elsewhere.

File System Archiving enhancements
This release adds the following new features and enhancements to File System Archiving:
- PowerShell cmdlets
New PowerShell cmdlets remove the need to use the Vault Administration Console to add, update, and delete file servers and folders as File System Archiving targets. You can now perform these operations from the command line. - Folder shortcuts to Enterprise Vault Search
File System Archiving can now create a folder shortcut in each folder that it archives. When clicked, the shortcut opens Enterprise Vault Search and displays the archived files in their original folder structure. - NetApp C-Mode LIF configuration
File System Archiving now supports the configuration of management and data roles on separate LIFs when adding a NetApp C-Mode Vserver as an FSA target. To use File Blocking on such NetApp C-Mode Vservers, you must have the Enterprise Vault 12.1 FSA Agent installed. Note that Enterprise Vault still supports the configuration of management and data roles on a single LIF.

Note that the File Blocking feature will not be available in the next release of Enterprise Vault.
Enterprise Vault Search enhancements
This release adds the following new features and enhancements to Enterprise Vault Search:
- New font icons to improve performance, scalability, and accessibility.
- A toolbar in the reading pane with which users can download, move, copy, or delete the current item.
- Advanced search options with which users can search for items that Enterprise Vault has marked as records or that have been tagged with category and classification values.
- The facility for OWA users to open archived items in OWA native form by double-clicking them in Enterprise Vault Search results.
- FSA folder shortcuts to display archived files and folders in the original folder structure in the Enterprise Vault Search sidebar.
- Support for additional English variants in the regional preferences, such as English (Australia) and English (Ireland).
- The Customize Columns dialog box now provides drop-down lists from which you can select properties to display as columns in the results pane.
Enhancements to the retention plan feature
Enterprise Vault 12 introduced a feature with which you can apply a retention plan to a range of different targets, including Exchange, Domino, and IMAP provisioning groups, FSA volume and folder policies, and SharePoint targets and site collections. With a retention plan, you can associate a retention category with a number of other settings, such as a classification policy and the criteria for discarding expired items, and apply them all to one or more targets.
In Enterprise Vault 12.1, new facilities in the Vault Administration Console and PowerShell cmdlets extend the range of targets to which you can apply retention plans. Now the following and their associated archives are all the potential recipients of these plans:
- Exchange journal mailboxes
- Domino journaling locations
- SMTP targets

Improved consistency when applying a retention period to moved items
Changes to the Vault Administration Console provide improved consistency and clarity in the way that Enterprise Vault applies a retention period to moved items. Some of these changes include changes to default behavior.

Limiting the impact when updating moved item locations
Previously, you could prevent Enterprise Vault from updating an item's location in the archive when a user moved the shortcut to a different folder in their mailbox. To disable this feature, you unchecked Update archive location for items moved in the mailbox in the Exchange Mailbox policy. In Enterprise Vault 11.0 this option was on the Moved Items tab. In Enterprise Vault 12.0, this tab was renamed Existing Items.
In this release, Enterprise Vault always updates the archive location of moved items. If you had previously disabled this feature, and mailboxes contain lots of shortcuts, then Enterprise Vault attempts to update the archive location for moved items after you upgrade. If the mailboxes include historical shortcuts to Enterprise Vault servers that are no longer reachable, then long network timeouts may occur.
To prevent these timeouts, configure a list of valid site aliases as described in the following procedure.
Configuring a list of valid site aliases
- In the Enterprise Vault Administration Console, open the Advanced tab in the Exchange Mailbox policy.
- In List settings from:, select Archiving General.
- Select Valid Enterprise Vault site aliases and click Modify.
- Enter a semi-colon separated list of valid site aliases. During shortcut processing, Enterprise Vault does not attempt to contact any site whose alias does not appear in the list.
- Click OK to close the dialog, and then again to close the properties.
- Repeat the above steps for each Exchange Mailbox policy.
Enhancements to IMAP client access
This release introduces the concept of a default IMAP archive. For users with access to a single archive, this is their default archive. For users with access to multiple archives, Enterprise Vault uses a set of rules to determine which archive to select as the default. The Setting up IMAP guide describes these rules.
IMAP users no longer need to append an identifier to their user names when they log on to their default archives. For example, it is no longer necessary to enter the user name as, say, EMEAJohnDoe1962
. However, they must continue to append the identifiers when they log on to other, non-default, archives.
Auditing enhancements
Enterprise Vault auditing includes the following enhancements:
- A new audit category, ArchivePermissions, enables auditing to record any change to manual archive permissions, and the identity of the administrator who made the change. An Enterprise Vault administrator can change manual archive permissions using the Enterprise Vault Administration Console, or Enterprise Vault Policy Manager (EVPM).
- If you have created the auditing database, new audit log entries and event messages show the status of auditing and each audit category, even if auditing is stopped. These messages are created when the Enterprise Vault Admin service starts, and when a user changes the auditing configuration.
- In the Administrators Guide, the 'Auditing' chapter now includes advice on what you need to consider when configuring auditing.
- To promote consistent auditing configuration, you should only configure auditing using the Administration Console. The ability to use registry settings is no longer supported.
Support for clustered Enterprise Vault Domino Gateway servers
Enterprise Vault now supports clustered Enterprise Vault Domino Gateway servers. These servers are clustered using IBM Domino server clustering.
Support for an alias URL for client web connections to the Enterprise Vault Domino Gateway server
Mail file extension operations in iNotes, and Enterprise Vault Search operations in the Notes client and iNotes connect to the Enterprise Vault Domino Gateway server using web connections. By default, the base URL is the fully qualified Internet host name of the Enterprise Vault Domino Gateway server. You now have the option of creating an alias value to use as the base URL instead of the fully qualified host name.
New version of Permissions Browser utility
The new version of Permissions Browser that is included in this release makes it quicker and easier to view the access permissions on Enterprise Vault archives and on the folders in these archives. Unlike the previous version of this utility, the new version accesses the Enterprise Vault Directory database directly; you do not need to specify the required ODBC data source anymore.

Changes to prerequisite software for Enterprise Vault 12.1
There are no changes to prerequisite software since Enterprise Vault 12.
The Enterprise Vault installer requires Microsoft .NET Framework 4.5.2, and all Enterprise Vault servers require both Microsoft .NET Framework 4.5.2 and .NET Framework 3.5 SP1 or SP2.

Support for File Blocking with File System Archiving
The File Blocking feature will not be available in the next release of Enterprise Vault.

64-bit cluster resource DLLs
Windows Server 2012 and Windows Server 2012 R2 deprecate support for 32-bit cluster resource DLLs, so Enterprise Vault 12.1 now comes with 64-bit versions of these DLLs.
If you cluster Enterprise Vault in a Windows Server failover cluster, you must deploy the 64-bit DLLs to all the nodes in the cluster. The following article on the Veritas Support website provides a PowerShell script module with which you can do this:
Update Service Locations action available for Power Administrator role
The Update Service Locations action in the Administration Console is now available for the Power Administrator role.
Outside In® Technology content converters updated to version 8.5.3
This release includes the following Outside In® Technology content converters and patch from Oracle® Corporation:

Changes to Enterprise Vault Software Identification (SWID) tags
The SWID tags that are installed with Enterprise Vault components have been updated. The SWID tag file names remain the same, but the contents now have Veritas branding. The SWID tags are no longer signed.
Selective SMTP Journaling no longer stores messages in the Sent Items folder [3866259]
In Selective SMTP Journaling, messages that contain a target address in the Sender or From fields are now stored in the Inbox folder of the archive, if the archive type can contain folders. If SMTP Mailbox Journaling is configured, such messages are still stored in the Sent Items folder.
Exchange archiving issues
MAPI over HTTP not supported on the Enterprise Vault server
Currently, Enterprise Vault supports MAPI over HTTP connections on Enterprise Vault client computers only. MAPI over HTTP connections to Exchange Server from the Enterprise Vault server are not supported. For instructions on how to disable MAPI over HTTP on the Enterprise Vault server, see the following article on the Veritas Support website:
OWA and Office Mail App issues
Unable to deploy the Enterprise Vault Office Mail App on Exchange Server 2013 CU9 and CU10 using a URL [3805340]
A known Microsoft issue in Exchange Server 2013 CU9 and CU10 prevents the deployment of applications using the -Url parameter in the New-App PowerShell cmdlet. This issue is fixed in Exchange Server 2013 CU11.
To deploy the Enterprise Vault Office Mail App on Exchange Server 2013 CU9 and CU10 you need to download the application manifest to a file, and then specify the file in the New-App cmdlet. An example script showing how to do this is provided in the Office Mail App troubleshooting section, 'The Enterprise Vault Office Mail App manifest file is not created', in Setting up Exchange Server Archiving.
The same workaround is needed whether you are deploying the application to an individual mailbox or to an organization.
Unable to deploy the Enterprise Vault Office Mail App on Exchange Server 2016 CU1 [3875995]
A known Microsoft issue in Exchange Server 2016 CU1 sometimes prevents the deployment of the Enterprise Vault Office Mail App using the New-App PowerShell cmdlet. If this happens, run the Get-App cmdlet and then run the New-App cmdlet again.
This issue is fixed in Exchange Server 2016 CU2.
Microsoft Edge pop-up blocker prevents OWA users from viewing archived items [3834065]
If you attempt to view an archived item when the pop-up blocker is enabled, then you are prompted to allow the pop-up. After selecting an option to allow the pop-up, the following error is displayed:
This issue results from a known Microsoft issue, and occurs the first time you try to view an archived item if all of the following conditions are true:
- The Enterprise Vault Office Mail App is deployed.
- You are accessing archived items using the Outlook on the web (OWA) client in Microsoft Edge.
- In Internet Explorer, the Exchange Server that hosts Outlook on the web (OWA) is in a zone where the pop-up blocker is enabled.
You can work around this issue by doing either of the following:
- Select 'Allow Always' to the pop-up blocker prompt. If you select this option, the issue does not occur on subsequent attempts to view archived items.
- Add the Exchange Server address to the Trusted sites zone in Internet Explorer.
Administration Console issues
Installing a standalone Administration Console on Windows 7
After installation, and before using the Administration Console, perform the following steps:
- Create an activation configuration file containing the following lines:

The SCOM Management Pack does not monitor the disk space health of vault store partitions.
Move Archive issues
Unsynchronized items in Virtual Vault can become inaccessible during a Move Archive operation [1707143]
When you use Move Archive, unsynchronized items in users' Virtual Vaults can become inaccessible following the move. To avoid this situation, do the following before you run Move Archive:
- Prevent users from adding items to their Virtual Vaults, using the Users can archive items advanced policy setting.
- Ensure that users have synchronized their Virtual Vaults.
Once you have moved archives, you can enable the Users can archive items setting again.
Move Archive operations can fail when the associated destination mailboxes have reached or exceeded their quotas [1960969]
Move Archive operations can fail for archives whose associated destination mailboxes have reached or exceeded their quotas. This is because Move Archive cannot complete shortcut processing when these mailboxes are full.
You should temporarily disable Exchange mailbox quotas on associated destination mailboxes until the Move Archive operations have completed.
PST migration issues
PST Locator task may fail to locate PSTs on computers that have Windows 7 installed [3330679]
On computers running Windows 7, you must enable the RemoteRegistry service to allow the PST Locator task to look for PST files using registry searches.
Enterprise Vault Reporting and FSA Reporting issues
Cannot access Enterprise Vault reports from Administration Console on Chinese or Japanese systems [3861345]
On Chinese and Japanese systems, the Enterprise Vault Administration Console fails to display the FSA Reporting data analysis reports and Enterprise Vault Reporting operation reports.
To access the reports, go to http://SqlServerName/reportserver
, choose 'Veritas Enterprise Vault', and then choose the required language.
Enterprise Vault Client for Mac OS X issues
A 'Choose Application' dialog box may appear on the first occasion that you run the Enterprise Vault Client on a Mac OS X 10.9 (Mavericks) computer [3640157]
If you install the Enterprise Vault Client on a computer that is running Mac OS X 10.9 (Mavericks), a Choose Application dialog box may appear on the first occasion that you enter your login details for Enterprise Vault.
Click Cancel to close the dialog box and work as normal with the Enterprise Vault Client. The dialog box should not reappear when you subsequently log in to Enterprise Vault.
Enterprise Vault Client issue when Outlook 2016 for Mac is the only installed version of Outlook [3806707]
A known issue can arise when you install the Enterprise Vault Client on a Mac OS X computer where Outlook 2016 is the only installed version of Outlook. In the Enterprise Vault Preferences dialog box, where you can select the email client with which to associate the Enterprise Vault toolbar, both Outlook 2016 and Outlook 2011 appear in the list. If you inadvertently choose the Outlook 2011 option, the Enterprise Vault toolbar does not subsequently appear when you start Outlook 2016.
To resolve this issue, reopen the Enterprise Vault Preferences dialog box and attach the toolbar to Outlook 2016.
After you install the Enterprise Vault Client on a computer that is running Mac OS X 10.9 or later, you must log out or restart Mac OS X before you can use the Enterprise Vault facilities for the first time [3589589]
After you install the Enterprise Vault Client on a computer that is running Mac OS X 10.9 or later, the Enterprise Vault facilities do not work on the first occasion that you try to use them. To resolve this issue, log out and then back in again, or restart Mac OS X.
Other issues
Deployment Scanner fails to check whether the Vault Service account belongs to the local Administrators group on the NetApp C-Mode Vserver [3535907]
The Deployment Scanner fails to check whether the Vault Service account belongs to the local Administrators group on the NetApp C-Mode Vserver. The 'File Server Permissions' check fails with the following message:
The user domainNameEVAdminUser is not a member of the local Administrators group on file server: FQDN. The user domainNameEVAdminUser should have full control to the files & shares you wish to archive.
You can ignore this error message. The Vault Service account does not need to be a member of the local Administrators group on the NetApp C-Mode Vserver.
Outlook on the Enterprise Vault server
Outlook 2003 and 2007 are no longer supported on the Enterprise Vault server.
Outlook 2013 SP1 (32-bit version) is supported on the Enterprise Vault server at Enterprise Vault 12. If you install Outlook 2013 SP1 on the Enterprise Vault server, old external filters that require Collaboration Data Objects (CDO) 1.2.1 may no longer work correctly. CDO 1.2.1 was included in Outlook 2003 and could be downloaded for Outlook 2007. Microsoft does not support the use of CDO 1.2.1 with Outlook 2010 and later versions. Contact your filter supplier for a version that does not use CDO 1.2.1.
Outlook 2016 is not currently supported on the Enterprise Vault server.
Microsoft Edge browser on client computers
Enterprise Vault 12.1 supports the use of the Microsoft Edge browser on client computers.
To minimize potential problems when running browser-based applications like Enterprise Vault Search, it is advisable to configure the browser settings to treat these applications as trusted sites. Note that the Edge browser uses Internet Explorer 11's list of trusted sites; Edge does not have its own list.

Admin service security checks of the Vault Service account’s TEMP folder
Enterprise Vault 11.0.1 introduced a security check which ensures that no unauthorized user accounts have access to the Vault Service account’s TEMP folder on the Enterprise Vault server. On startup, and periodically thereafter, the Admin service checks access to the folder. If it finds unauthorized access, it writes an error to the event log and terminates immediately.
If you are upgrading from Enterprise Vault 11.0, you must check the accounts that have access to the Vault Service account’s TEMP folder. For more information, see the section called “TEMP folder security requirements” in the Installing and configuring guide, and the following article on the Support website: http://www.veritas.com/docs/000023496.
Important information about the Enterprise Vault server cache [2423953, 2260094]
On each Enterprise Vault server that hosts an Indexing service, you must specify a location for the server cache. If the server cache is not specified, or is inaccessible, the Indexing service does not start.

Basics of Service
What is colocation?Colocation, colo for short, means that you place the Mac mini that you own in our secure data center. We supply power, bandwidth, and physical security allowing your Mac mini to be ‘hosted’ on the internet. You can access its desktop or its command line interface. You can use it for file storage, web & database hosting, an e-mail server, or some of the built in OS X Server tools such as calendar, address book, wiki servers, etc. Because the hardware is compatible with Windows and Linux you can configure it anyway you’d like before sending your mini to our data center.
What is your uptime, guarantee, or SLA?We always strive for 100% uptime. By uptime, we are measuring the data center having power and internet connectivity. Individual machines may see different uptimes when considering software updates, reboots, and occasional hardware/software issues.
We have a track record of 99.9% or better uptime. Most months we deliver 100% uptime. We track these with monitoring systems we have both inside and outside of our network. You can view our MKE1 Pingdom stats page and PHX1 Pingdom stats page which monitors a Mac mini, or view our sister company’s server history page. Some of those servers have been online since 2008. Keep in mind, the individual servers on those tests may have had issues causing downtime as well.
If a company says they actually deliver 100% uptime and have never had any type of outages what-so-ever, it is a marketing bullet point that is not based in truth. Many companies promise 100% uptime and provide SLA (Service Level Agreements) to guarantee uptime. Normally an SLA would promise a refund of service cost based on a percentage of the downtime experienced and documented by the customer. Most agreements put the burden of monitoring and proving downtime on the customer. Our Mac mini colocation plans are priced at a point where if we hit 99.9% instead of 100% uptime, the refund would be less than a dollar.
We guarantee that we will deliver the best possible service and customer support. We are driven to hit 100% uptime. We will immediately resolve issues that affect uptime. If you are ever unhappy with our service, contact us and we will make things right.
What if I just wanted to try it out?We offer 24 hour demo periods to potential customers to allow them to test out the service prior to signing up. Enter your details in the Test Drive form at www.macminivault.com/try and we’d be glad to get a demo setup for you.
Is there a contract for colocation?No. There is not a contract for your Mac mini colocation. We have 3 basic conditions that apply to cancelations:
- Prorated refunds are given for service months paid in advance. The current month is not refunded.
- There is a $20 shipping and handling fee to return your Mac mini to you (within the continental US).
- If you purchased a Mac mini from us, we can not ship it to you until 90 days after your order was placed.
Yes. Each Mac mini has it’s own static publicly accessible IP (IPv4) address. Additional IPv4 addresses are available for $1.99 each per month.
Do you support IPv6?Yes, we have multiple native IPv6 peers to the internet at both MKE1 and PHX1. Currently IPv6 is available for customers on our Core and Enterprise colocation plans along with dedicated server customers that are not using our Cisco firewall service. To request an IPv6 allocation (/96) free of charge, please open a support ticket.
Do you offer DNS service?We do offer DNS service on our DNS cluster. We can set you up with an account and enter your domains into a DNS zone management system. Contact us for more info.
Do you offer Domains?Customers can log into their client portal and use the ‘Domains’ menu to register, transfer, and renew domains. For the domain to be ‘live’ the nameservers for the domain will need to be set accordingly if you are going to host your own DNS, use our DNS cluster, or use a 3rd party service for DNS. Standard ‘.com’ domains start at $13/year.
Do you offer SSL certificates?We offer SSL certificates for $39.95/year. Open a support ticket to begin the process, we can assist with the CSR generation and installation of the certificates.
Can I set reverse DNS names?Yes you can. Just open a support ticket and we will update the reverse DNS records for your IP(s).
Where do I ship the mini?When you place an order we will provision an IP address and slot for your mini. You will receive an email with instructions on how to configure your mini and where to send it to. Please ensure the mini is packed safely and the package is insured with the shipping company.
What about the Mac mini box/packaging?We catalog and store the Mac mini boxes in a secure warehouse. If you send your mini in to us with its original box we will store it for you and use it for return shipping.
Mac Mini
Is the Mac mini a good server?Absolutely. Apple’s Xserve Transition Guide sites the Mac mini as their most popular server system. Because of its size and power efficiency we are able to offer enterprise level colocation at affordable rates.
Do I need the Mac mini Server version?No you do not. Server.app can be purchased separately from the App Store, or you can continue using the desktop version of OS X.
How do I access my Mac mini?When you sign up you will receive links for our billing system, bandwidth monitoring, remote reboot, and address for your mini. You will have SSH and VNC access to your Mac mini. VNC allows you to see your Mini’s desktop from the macOS screen sharing application or most VNC applications on Linux machines.
To access your Mac mini via SSH:
Open terminal on a Mac/Linux machine or download and open Putty on a Windows machine. With putty simply enter your IP address or host name and once connecting the console will prompt for a username or password. From a Mac/Linux machine within terminal, enter the follow command using your username. ssh username@hostname_or_IP
, hit enter, accept the default keys notice if prompted, then enter password when prompted. For example, the command might look like ssh administrator@66.185.22.2
or ssh admin@b18-1.macminivault.com
If you need to access your mini using RDP, we recommend using NuoRDS, and we can install that for you if you send us your license key.

How do I access my Network Graphs and Remote Reboot?The network graphs and remote reboot are a part of the billing portal interface. This is the same area that has your invoice/billing information. Log in here. Under the “Services -> My Services” section there will be a list of all your Mac minis. When you view the details of your Mac mini you will see tabs for the Network Graph and Remote Reboot features. Clicking through the tabs will display more information about your Mac mini including the network graphs and the remote reboot functionality.
Do I need a domain name?You will be able to access your mini by its IP address or by its server name (example.macminivault.com). We sell “.com” domain names for $9.95. You can connect your domain name from another registrar to your mini by pointing the DNS records to the IP address that you are provided.
Additional Services? SSL? Spam Filtering?We offer SSL certificates as well as spam filtering services. E-mail sales@macminivault.com for more information.
Can I run a firewall/VPN setup?Certainly! We offer a hardware firewall option. You can also setup OS X Server (10.10+) to very easily to run firewall rules and restrict remote access. Please open a support ticket to request the IP range of our support network so we can still access the machine when support is needed.
How do I backup my Mac mini?We have a great blog post on a few methods that we recommend.
Can I add an external hard drive?Yes you can. There are some restrictions and there is an extra charge of $10 a month. For larger storage options please contact us for a quote. Can I add an SD Card?Yes, customers can have an SD card inserted in their Mac minis for no additional charge. Simply send the SD card with your mini or contact support in regards to shipping it at a later time. If you do ship it with your Mac mini, please make sure to not send it while it is inserted (pack it separately).
Can I run a video dongle?Customers that require higher resolution or snappier video response can request to have a video dongle connected to their Mac mini at no additional charge. When the Mac mini senses a monitor is hooked up, the display properties will allow for higher resolutions and streamer programs like SplashTop will display faster frame rates.

Can I upgrade my mini later?Any of our upgrade services (RAM, Firewall, Storage, etc) are available at the same price that is listed on our signup page. To schedule an upgrade please open a support ticket. NOTE: Late-2014 Mac minis do not upgradeable RAM.
You are able to perform software updates, you are responsible for the costs associated with those upgrade. While software updates are possible without any assistance by us, please schedule your upgrade to make sure that we can hop in ASAP if needed. You can schedule that by opening a support ticket.
Can I run a different OS?You can run Windows or Linux on your Mac mini. We have expert staff on hand for Windows and Red Hat based Linux distributions. We will always try to assist you with your Mini, but colocation support primarily focuses on network connectivity and power for your unit.
As an alternative, you can virtualize Windows or Linux on top of OS X for the best mix of environments. Please contact us for more information.

What if a new Mac mini is announced right after I order?If a new Mac mini is released within 30 days after you either sign up for a rent2own program or purchase a mini from us, you have the option of swapping out your Mac mini to the new model. Just open a ticket within seven days of the new machines being released and we’ll get the process started.
Unfortunately 99% of the time we will not be able to image your current machine’s disk to the new Mac mini. When Apple releases new hardware the new hardware has a special OS build and the current standard OS release will not boot on new hardware. The special build includes drivers and extensions that are specific to the new hardware.
Do you have a referral program?Yes we do! We’ll give current customers two (2) free months of colocation for every new customer that signs up to colo a Mac mini. There is a referral code box on our signup page, if someone enters in your Mac Mini Vault # we’ll add a credit on your account to equal two months of your current plan. The credit is calculated on the lowest cost plan you have. If you have 3 Enterprise plans and 1 Core plan, a 2 month credit for the Core plan would be applied.
Your Mac Mini Vault # is the prefix of your server name and the name that we use to reference your Mac mini. For example, if your welcome email and invoices say “a123.macminivault.com”, your Mac Mini Vault # is “a123″.
Referral credits can take up to three months to be applied to your account in certain situations. This is to prevent fraud and ensure referral’s are real customers.
What happens when I leave Mac Mini Vault?There are no contracts, your service will be canceled with a prorated refund. Your mini will be shipped back to you at a cost of for transportation. International shipments will be quoted prior to shipping. Even if you purchase your Mac mini from us, it is yours to keep. It will be shipped to you in its original box with all documentation, discs, and cables. We can not ship purchased Mac minis during the first 90 days after the signup date.
Do you take older style Mac minis?Yes we do. Recently we built a rack dedicated to colocating the pre-2010 Mac minis. To sign up visit our Classic Sign up page.
Do you take X Serves?Yes! All our colocation is done within secured 48U APC cabinets – even our Mac Minis! We will colo a X Serves however you’ll have to contact us for a custom quote.

Support
What if I need a reboot?All our service plans include a control panel for remotely rebooting your Mac Mini. If you are having any difficulties you can open a support ticket.

Please Note: You should ensure the proper configuration is set within the Energy Saver System Preferences. Make sure that ‘Wake of network access’, ‘Restart automatically if the computer freezes’, and ‘Start up automatically after a power failure’ are checked. We also recommend setting a ‘Start up or wake’ schedule outside of our free hands-on support. If the machine is awake and running there will be no issues, if the machine is accidentally shut off or put to sleep it will come back online.
What level of support is included?We have 24×7 e-mail support available through our ticket system and telephone support from 8am to 5pm CST at 800-862-5965. We will support the network and power connections to your Mac mini. We will attempt to assist with any software problems, however software support is not inherently included with colocation.
What is “hands on” support?If you are unable to access your mini we will provide free hands on support during 8AM to 5PM US Central time Monday through Friday except holidays. There is a $150 charge for emergency hands on support outside of 8-5 on business days. Hands on means we will physically plug a monitor, keyboard, and mouse into your mini and get it back up for you. Repairing hardware that is not covered by our perpetual warranty is available at an additional charge.
Most things can be handled by a remote reboot, but things like disabled networking, bad firewall rule, or a hardware failure can not be fixed by a reboot. Our hands-on support covers much more than a bad firewall configuration, or resetting a password. We can help with troubleshooting issues with macOS and macOS Server. We are Mac experts and happily offer our expertise to our customers.
How does the emergency “hands on” support work?If you require hands on support (physical monitor, keyboard, and mouse connected to Mac mini) outside of our free hands on support please open a support ticket. The support ticket should include all the information you have on the possible current state of your Mac mini and any recent changes. We’ll also need to confirm user credentials and if there is important data that may need to be backed up. In order to expedite the process include a phone number and a sentence that states that you authorize the emergency hands on work and accept the $150 per incident charge.
What if my Mac mini suffers a hardware failure?Our Enterprise level colocation includes access to a Emergency Loaner mini in case of hardware failure. You can use the Emergency Loaner mini if your machine is being serviced locally. To reduce downtime we commend using live cloning software such as SuperDuper! or Carbon Copy Cloner. The clone can be placed on an external hard drive or on the secondary hard drive of a Mac mini Server. We can boot the Emergency Loaner mini off your cloned drive. If you do not have a clone of your hard drive you will have to configure the Emergency Loaner mini temporarily as your unit is being repaired.
Our Enterprise colocation plan also includes a Perpetual Warranty on hardware that was purchased from us (including the Rent2Own program). Any hardware repairs are done free of charge. If the unit is not repairable a mini with the same or better specs will be provided.
We can service your Mac mini with our Apple Authorized Service Provider. There is a $20 transportation fee and any repair costs would be charged if outside of warranty. We can also send your unit back to you. Any time we ship your Mini there is a $20 transportation fee.
How soon can my Mac mini be online?If you have purchased a Mac mini when ordering your colocation service, we will have your Mac mini provisioned within 48 hours. If you are sending us your Mac mini, it will be provisioned within 24 hours of receiving your package. We do strive to complete deployments in much shorter timeframes than those, more recently we have been deploying machines within hours.
What is the “Emergency Loaner mini”?Our Enterprise colocation service includes a service where we will deploy an emergency loaner mini to you at no additional charge. This can be used if your machine suffers a type of failure that would prevent it from being online in a short amount of time. Normally we are able to repair and rebuild machines very quickly and this service isn’t required — but the option is there just in case it is needed.
What is the “Perpetual Warranty”?Customers that are on our Enterprise colocation service plan and have either purchased a mini from us or have participated in the Rent2Own program will have all hardware repairs covered free of charge. This applies to current colocation customers that have originally signed up with the Enterprise plan. Hardware upgrades purchased from Mac Mini Vault such as RAM and SSD drives are covered as well. If a repair is not possible another machine will be deployed for you at the same or newer specs of your current machine. This warranty is for hardware and labor only, no software warranty is implied and data loss is not covered. Be sure to backup your mini so that your machine can be restored to its previous state.
Storage Vault
How is Storage Vault connected?Currently we use a USB3 connection but as new technologies become available (such as Thunderbolt) we will strive to offer the fastest connection available for your mini.
How much useable space is there?The advertised volume sizes are after the RAID array is created. Your usable space is just slightly less than the advertised volume size.
Can I use a Storage Volume on multiple minis?No, because this is direct-attached storage it will only connect to one mini. You can share the volume between machines by using file sharing though.
Enterprise Vault Client For Mac Os X High Sierra
What happens when a hard drive dies?Within 1 business day of being notified of a malfunctioning drive, a new drive will be installed and your RAID will automatically rebuild. Your RAID can suffer a single drive loss without losing any data.
Is there a contract for Storage Vault packages?We require a 12 month contract for the 1U RAID5 Storage Vault unit. The external USB rental drives do not have a contract.
Rent2Own
Do you rent Mac minis?We rent current model Mac minis. These are new units with factory warranties. We store the original packaging as well. After 12 rental payments, the machine is then owned by the customer.
We believe that the ‘colocation’ business model offers the most benefits to the customer. The rent2own program allows customers to have a tangible asset once completed. If for any reason you no longer require colocation service the Mac mini that you own has value and is yours to repurpose or sell.
Can I upgrade a rental Mac mini?Certainly. The same memory and SSD upgrades are available, if the customer cancels service prior to the 12th month any rental and upgrade fees are forfeited and considered strictly rental fees.
What if I cancel early?Customers can cancel at any time. Our colo service is month to month and there is no commitment to the rental program. Any rental fees paid are non-refundable. There are no ‘buy-out’ options. The Rent2Own program is only available when the machine is colocated in our data center.

Are there any fees? (Interest/Setup)There are no fees as a part of our Rent2Own program. You simply pay for the colocation service and the 1/12th the cost of a Mac mini each month. After the 12th month only the colocation service will be invoiced.
Why does the shopping cart not show rent2own as recurring?Our ordering system doesn’t handle the rent2own items as subscriptions. We manually tell the system the duration and number of payments. Because of that the order form treats the rent2own items as one-time charges. In fact, that charge is the first of 12. The next 11 will automatically invoice for the 1st of the month along with the colocation service.
Likewise, Paypal subscriptions can not automatically include the rent2own portion of the monthly charges. There is no way for us to alter the payment amount of the Paypal subscriptions from our end.
Can I run an alternative OS?Sure thing! Any of our alternative OS installs are available. This service is FREE.
Why am I receiving a Payment reminder when I have a PayPal subscription?There are two possible answers for this:
a) PayPal Subscriptions can only be setup in our billing system for recurring services, not rent2own payments or other non-recurring charges.
The reason this is done is that if you setup the payment for the full amount including the rent2own payment, the automatic transfer would continue for the full amount even after the 12th Rent2Own payment had been completed, thereby creating a building credit balance on your account.
b) When you setup your PayPal subscription, it was for a different dollar amount than your service currently is which may be caused by additional IP’s being added to your account or other services such as a firewall, external HD colocation or other services being added.
This could be determined by looking at the current invoice and seeing the amount of the credit which was applied to the invoice from the PayPal subscription you currently have setup. If that is the case, you will have to cancel the current subscription and setup a new subscription for the new amount or you can manually log in and pay the balance owed when the invoices are generated.

Data Center (Milwaukee)
Is your data center secure?Our Milwaukee data center is monitored by multiple IP video cameras and secured with programmable RFID badges. If a badge goes missing it can be disabled immediately. Each cabinet within the data center is also locked.
Can I have physical access to my Mac mini?Customers can schedule a visit to the data center by opening a support ticket. We can not allow customers in the cabinets, but we can power down your Mac mini and set it up at a workstation.
How fast is the network connection?All Mac minis located in our cabinets (model year 2010 and newer) are connected to Cisco gigabit switch stacks. Each gigabit switch stack has redundant fiber connections to redundant core switches which are a pair of Cisco 6509’s. All of our core switches are networked in a redundant high speed 10G fiber layout to our edge routers. You can test your network connection to our data center here.
Peak transfer speeds will depend on the connection at the other end of the transfer and the path it takes. Peak transfer speeds are only temporary and long term transfer rates are reflected in the ‘sustained’ transfer rates listed in our packages.
We have five different upstream BGP peers. AT&T, Cogent, Level 3, Spectrum, and NTT. We control our upstream connection with our own AS number (AS21554). Other companies may have colo space inside a huge data center with a lot of connections. However, if they do not run their own AS number and peering, it means they are getting a “blended bandwidth product” which uses a handful of random peers. Not the 30+ network providers that the data center has connectivity to. We build our network and connectivity to give great bandwidth (size of the pipe) but also low latency (responsiveness).

Enterprise Vault Client For Mac Os X Download
What is the level of redundancy?Enterprise Vault Client For Mac Os X 10.8
Your Mac mini will be in a datacenter with it’s own dedicated power circuit backed up with Generac generators and N+2 UPS battery systems. Your Mac mini will be plugged into a Cisco Gigabit switch stack that is connected by fiber to two separate core switches (Cisco 6509’s) which each have multiple 10G fiber connections to our edge routers. Our upstream fiber connections enter at different corners of our business park. Our Mac mini colocation cabinets have redundant access to all of the fiber coming into the building. BGP routing ensures that if one connection goes down, traffic will move to the available connections.
Data Center (Phoenix)
Can I move my Mac mini from Milwaukee to Phoenix?Our Phoenix location is a great addition for our customers. Especially those with multiple Mac minis. If you wish to move an existing Mac mini from our Milwaukee data center, down to Phoenix there are two ways we can assist. The entire process is highly documented and streamlined so that it’s a smooth transition and downtime consists only of shipping lengths.

Is your data center secure?The Phoenix data center is monitored by multiple IP video cameras and secured with programmable RFID badges. To enter the data center space itself, you must pass through a three-way authentication man trap. The Mac Mini Vault space is placed in a locked cage within the data center space. The facility is guarded 24×7 by a trained security staff.
Can I have physical access to my Mac mini?Unfortunately we can not allow customers into the Phoenix data center space in order to work on their machines.
How fast is the network connection?All Mac minis located in our cabinets are connected to Cisco gigabit switch stacks. Each gigabit switch stack has redundant fiber connections to our core layer switches which are Cisco 6500′s.
Peak transfer speeds will depend on the connection at the other end of the transfer and the path it takes. Peak transfer speeds are only temporary and long term transfer rates are reflected in the ‘sustained’ transfer rates listed in our packages.

We have two different upstream BGP peers at PHX1. Cogent and TW Telecom. There are over 20 providers onsite that we can peer with as we grow our Phoenix presence. We control our upstream connection with our own AS number (AS21624). Other companies may have colo space inside a huge data center with a lot of connections. However, if they do not run their own AS number and peering, it means they are getting a “blended bandwidth product” which uses a handful of random peers. Not the 30+ network providers that the data center has connectivity to. We build our network and connectivity to give great bandwidth (size of the pipe) but also low latency (responsiveness).
What is the level of redundancy?Our Phoenix data center space is powered by (4) 10MW feeds from the local utility. This power is split off into a complete A/B configuration. The power is backed up by battery power and N+1 2MW Cummins generators. The facility is cooled by an N+1 chiller plant and N+4 CRAH units. Our upstream fiber connections enter at different corners of our business park. Our Mac mini colocation cabinets have redundant access to all of the fiber coming into the building. BGP routing ensures that if one connection goes down, traffic will move to the available connections.

Watchman Monitoring
What is Watchman Monitoring?Watchman Monitoring is a service that is free to Mac Mini Vault customers with an Enterprise colocation plan. The service watches for potential issues on your Mac mini and present reports and data through our customer portal (secure.cyberlynk.net). Mac Mini Vault engineers are also alerted if there are important issues with memory issues, disk I/O issues, or scheduled backups fail to run. Support tickets will be opened to forward actionable information in order to provide proactive support.
What Operating Systems are supported?Currently we are only supporting OS X 10.5+ for monitoring. We plan to build in support for Linux and Windows Server down the road.
What is being reported?Currently we are reporting the following data points with v1.0 of our Watchman Monitoring integration:
- IP Address
- Hostname
- Uptime
- Last report time
- OS Version and build
- Kernel Panic report
- Memory installed
- Memory errors
- Time Machine backup details
- CCC backup details
- Super Duper! backup details
- Hard drive available storage
- Hard drive SMART status
- Hard drive I/O errors

Mac Mini Vault is dedicated to providing the best service and we take data privacy very seriously. Only important data points are being collected with the Watchman Monitoring agent. At most, the hostname, IP address, and email address associated with a CrashPlan account are collected. If you are not using additional plugins that have username/email data (like CrashPlan), then no personal information is collected. All data is transferred via encrypted HTTPS communications.

Can I upgrade service to the Enterprise plan?Customers on the core plan can easily upgrade to the Enterprise plan. Start by logging into the customer portal. Under the ‘Services’ menu, choose ‘My Services’. Click the ‘View Details’ button next to the service you wish to upgrade. Under the ‘Management Actions’ menu, choose ‘Upgrade/Downgrade’ and follow the steps outlines to complete the upgrade process.
